Are You Meeting Often Enough with Your Grant Writing Partner?

Estimated read time: 2.5 to 3 minutes

When I think back on some of our most successful grant outcomes, there’s a common thread running through them:

consistent, meaningful check-ins.

This isn’t about ticking a box or “having another meeting.” It’s about creating space for real conversations shaping stronger, more culturally aligned proposals. Over time, I’ve learned that these moments together make the difference between simply meeting a deadline and truly representing a community’s vision.

Here are three lessons I’ve learned from walking alongside our client communities:

1. Starting Early Sets Us All Up for Success

When we can start on a grant application 4–6 weeks before the deadline, it changes everything. We have time for thorough internal review, community feedback, and any required governance steps like Band Council Resolutions (BCRs). Starting early means we’re not just submitting on time, we’re submitting our best work, with your priorities front and centre.

2. Your Presence and Voice Matter

Our monthly meetings work best when all key voices are in the room. These aren’t just updates, they are opportunities to make sure the proposal reflects your community’s values, priorities, and goals. Hearing directly from leadership, program staff, and Elders ensures we’re not interpreting your vision from the outside, but building it with you.

3. Flexibility Builds Trust

Life in community leadership is rarely predictable. Urgent matters arise, schedules shift, and we understand that. What matters most is keeping the connection; rescheduling rather than letting a month slip by. Every touchpoint strengthens our shared understanding and our ability to respond quickly to funding opportunities without losing quality or cultural integrity.

At its heart, successful grant writing is relational work. It’s about trust, collaboration, and a shared commitment to outcomes that truly matter. The more we stay connected, the stronger and more impactful our funding applications become.
